Job Description

We are seeking a highly organized and detail-oriented Administrative Coordinator to support the Risk and Compliance team. The role involves managing a high-volume shared mailbox, coordinating requests, tracking workflows, and ensuring professional communication with internal and external stakeholders. The ideal candidate should be proactive, process-oriented, and comfortable working in a fast-paced environment during US EST business hours.

Responsibilities

  • Monitor, triage, and prioritize incoming emails in the Risk & Compliance shared mailbox.
  • Categorize and assign requests to the correct stakeholders based on urgency and subject.
  • Acknowledge inquiries promptly and communicate expected response timelines.
  • Track incoming requests and maintain workflow visibility for reporting and planning.
  • Draft professional email communications and follow-ups.
  • Escalate urgent or high-risk issues to leadership.
  • Support administrative tasks such as documentation handling, scheduling meetings, and organizing due diligence responses.
  • Maintain and improve intake and mailbox process documentation.
  • Coordinate effectively with cross-functional teams and stakeholders.
