Job Description

We are seeking a detail-oriented and organized IT Asset Management Specialist to oversee the complete lifecycle of IT assets across the organization. The ideal candidate will ensure efficient asset utilization, accurate inventory tracking, compliance with licensing and regulatory standards, and cost optimization.

This role plays a critical part in maintaining control, visibility, and security of all IT hardware and software assets.

Key Responsibilities

🔹 Asset Lifecycle Management

  • Manage the full lifecycle of IT assets from procurement to disposal.
  • Ensure all assets are tracked using an asset management system.
  • Maintain an up-to-date inventory of hardware and software assets.

🔹 Inventory Control & Tracking

  • Maintain accurate records of all IT assets including:
    • Computers, servers, networking devices, and software licenses
  • Conduct periodic physical audits and reconcile discrepancies.
  • Implement tools for automated asset tracking and reporting.

🔹 Procurement & Vendor Management

  • Collaborate with procurement teams for asset acquisition.
  • Manage vendor relationships for hardware, software, and support services.
  • Negotiate contracts and ensure cost-effective purchasing.

🔹 Software & License Management

  • Ensure compliance with software licensing agreements.
  • Track license renewals, subscriptions, and usage.
  • Manage installation, upgrades, and decommissioning of software.

🔹 Cost Management & Optimization

  • Monitor asset usage to improve efficiency and reduce costs.
  • Develop strategies to extend asset lifespan.
  • Prepare reports on asset performance, utilization, and savings.

🔹 Compliance & Risk Management

  • Ensure compliance with legal, regulatory, and security standards.
  • Implement policies for data protection and secure asset handling.
  • Stay updated with standards such as GDPR, HIPAA, and industry regulations.

🔹 Disposal & Decommissioning

  • Oversee secure disposal or recycling of IT assets.
  • Ensure data wiping and secure destruction of sensitive information.
  • Comply with environmental and organizational disposal policies.

🔹 Reporting & Documentation

  • Maintain documentation for asset management processes and policies.
  • Generate reports on inventory, lifecycle, and budgeting metrics.
  • Ensure all activities are auditable and well-documented.

Required Skills & Experience

  • Experience in IT asset lifecycle and inventory management.
  • Knowledge of:
    • Asset management tools
    • Software licensing compliance
    • Vendor and procurement processes
  • Understanding of data security and regulatory compliance.
  • Strong analytical and organizational skills.

Qualifications

  • Bachelor’s degree in:
    • IT / Computer Science / Business Administration or related field
  • Relevant certifications (optional but preferred):
    • ITIL, Asset Management certifications
